Senior Administrative Assistant

Job description:

This position provides high-level administrative support, project management and proactive assistance in all aspects of work for three busy executives in the convention sales and marketing departments.  This is a full time position with medical/dental/vision benefits and 401k.

Essential Job Functions:

The successful candidate will have a demonstrated track record in high level administrative support:

  • Prepare correspondence, expense reports and Power Point presentations
  • Arrange conference calls, schedule meetings and site itineraries
  • Assist in travel planning and makes travel arrangements
  • Coordinators calendars and meetings
  • Gathers data and prepares reports
  • Assist Events department as directed on special projects (trade show, special event activities, etc.)
  • Assist with internal and external meetings
  • Administrator of Sales Master Calendar
  • CRM Super-user (Simpleview)

Education, prior work experience and specialized skills and knowledge:

  • Bachelor’s degree in related field preferred
  • 4-5 years of relevant administrative experience preferred
  • Experience with hospitality or travel industry preferred
  • Demonstrated self- starter who takes initiative
  • Able to independently organize, prioritize and oversee incoming information and requests.
  • Exceptional communication and organizational skills
  • Demonstrated tact and judgment in dealing with many different types of stakeholders.
  • Exhibits excellent and consistent follow through, creativity, maturity, flexibility and adaptability
  • Willing and ready to take on many types of project as the need arises with poise, accuracy and efficiency
  • Delivers consistently high touch service to both internal and external customers
  • Strong technological skills including Microsoft Office Products plus ability to learn new programs quickly
  • Strong interpersonal skills to handle sensitive situations and confidential information
  • Consistently positive attitude and professional demeanor
  • Must be able to speak, read, write and understand the primary language, English, used in the workplace

  • Work involves working alone on the computer, collaborating as part of a team or working closely with others by computer or over the phone.

  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, listening and hearing ability and visual acuity.
  • Must have finger dexterity to be able to operate office equipment such as computers, printers, ten key, multi-line touch phone, filing cabinets, FAX machines, photocopiers, scanner and other office equipment as needed.
  • Occasional attendance at outside work functions.
