Senior Coordinator, Sales & Marketing

This position provides administrative support, project management and proactive assistance in all aspects of the work of the Senior Vice President of Sales and Services. Also serves as core team member for the Seattle Tourism Improvement Area (STIA) reporting to Vice President of Marketing.  We are looking for a polished professional with exceptional administrative and customer service skills.  The successful candidate will be a demonstrated self- starter who takes initiative, is extremely organized, who exhibits excellent and consistent follow through, adaptability and maturity.  There are lots of moving parts in this position, so candidate must be able to handle multiple projects and priorities with poise, dedication, accuracy and efficiency.   We’re looking for someone who understands and embraces Visit Seattle’s mission, who loves travel and wants to grow a career in the hospitality/tourism industry.

List of Essential Job Functions:

SVP Support

  • Provide administrative support for SVP.
  • Special projects as assigned.
  • Manage Convention Sales budget, assuring that forecasts are accomplished in a timely manner.
  • Manage Convention Sales travel plan.
  • Facilitate to ensure work plan is completed on time and supporting documents are provided for the WSCC Scope of Work master file and binder.
  • Compile and update contents for the Sales month-end recap e-newsletter.
  • Assist in travel planning for SVP.
  • Coordinate calendar for SVP.
  • Maintain discretion and confidentiality of all Visit Seattle and personnel matters.
  • Perform other related duties and assignments as required.

Convention Sales and Services

  • Special projects as assigned.
  • Manage distribution and inventory of domestic airline vouchers, including sponsorship travel trade.
  • Assist with internal and external meetings- Convention Sales, Convention Sales & Services, Sales Coordinators, Sales & Services Team Outings, Sales & Services Retreat, DOSM Meetings, WSCC Board, WSCC Marketing Committee Board, Visit Seattle Board, Visit Seattle Executive Committee Board, Hotel GM, Partner office visits & team invitations for industry events.
  • Manage monthly reports with Sales Administration Manager.
  • Manage PowerPoints and related materials necessary for VS and WSCC board meetings.
  • Provide backup for Sales Administration Manager.
  • Simpleview Data base management.
  • Handle incoming calls and correspondence.
  • Proof all Sales & Services Expense reports to ensure proper coding & route for appropriate signatures.
  • Create Convention Sales new hire training schedule which includes scheduling hotel site tours, VS one on one meetings, offsite venues, etc.
  • Perform other related duties and assignments as required.

Seattle Tourism Improvement Area

  • Serve as core team member.
  • Coordinate all meetings aspects for advisory board, 101, nominating committee and annual meetings.
  • Manage scope of work and quarterly city reporting.
  • Compile and update contents for the month-end recap.
  • Maintain and manage the master ratepayers and advisory board list.
  • Handbook content management.
  • Send out email communications as needed.
  • Perform other related duties and assignments as required.

Education, prior work experience and specialized skills and knowledge:  

  • 3-4 years relevant administrative experience required.
  • Must possess strong technological skills including all Microsoft Office products and ability to learn new program systems quickly including SimpleView, Distribion, Word Press and Ungerboeck.
  • Ability to foster relationships, multi-task, adapt without direction, handle unexpected events, solve problems and proactively manage tasks and projects.
  • Demonstrated tact and judgment in dealing with many different types of stakeholders.
  • Strong service approach with both internal and external customers.
  • Exceptional communication and organizational skills.
  • Demonstrated flexibility and productivity especially under deadlines and stress.
  • Consistently positive attitude and professional demeanor.
  • Ability to independently organize, prioritize and oversee incoming information and requests.
  • Strong interpersonal skills to handle sensitive situations and confidential information.

  • Must be able to deliver packages on foot around the downtown core.
